License Manager
The free app that licenses every 365vanguard app for Business Central. How it works, what it sends, and what to do when it shows a message.
What it does
License Manager is a free library app that every 365vanguard app for Microsoft Dynamics 365 Business Central depends on. Business Central installs it automatically with our apps. It checks whether each of our apps is licensed for your tenant, shows the licence status to administrators, and tells us where our apps are installed.
About once a day, a background task contacts our License Service at license-api.365vanguard.com and receives a licence token for your tenant, signed with a key held in Azure Key Vault. License Manager and each app verify that signature themselves, so the licence cannot be forged.
It never runs at install or upgrade, never makes users wait for the internet, and never hides or deletes data.
Key capabilities
- One licence per tenant. Covers every production and sandbox environment of your Microsoft Entra tenant.
- Automatic trial. The first check-in for a new app starts its 30-day trial, with no action from you.
- 365vanguard Licenses page. Status, end date and last check for every app, with Check now, Copy tenant ID, Check log and Allow HTTP requests.
- Clear notifications. Trial days left, grace warnings and connection problems, shown on our apps' main and setup pages.
- Works offline for a while. If the service cannot be reached, the last token stays valid for 7 days, followed by the grace period.
- Safe for sandboxes and copies. A sandbox that cannot reach the service is never restricted, and a copied environment registers itself as a new environment of the same tenant.
- Permission sets. License Manager Admin (V36 Admin) for Check now and token import, License Manager Read (V36 Read) to view the Licenses page.
Requirements
- Microsoft Dynamics 365 Business Central online (SaaS), version 28 (2026 release wave 1) or later.
- Outbound HTTP requests allowed for License Manager, so it can reach
license-api.365vanguard.comover HTTPS.
Installation
You do not install License Manager yourself. When you install any 365vanguard app from Microsoft AppSource, Business Central installs License Manager first, as a dependency. It is free and is not sold on its own.
Setup
There is nothing to configure. Two things make sure it works:
- Allow outbound HTTP for License Manager (below). In sandboxes Business Central blocks this by default.
- Give administrators the License Manager Admin permission set, so they can use Check now. Our apps include License Manager Read in their own permission sets.
Allow outbound HTTP requests
License Manager must be able to reach the internet. Business Central blocks these requests by default in sandbox environments, and an administrator can also block them in production. To allow them:
- Open the Extension Management page.
- Select the app and choose Configure.
- Turn on Allow HttpClient Requests.
For License Manager, the 365vanguard Licenses page also has an Allow HTTP requests action that takes you to this setting.
Daily use
Search for 365vanguard Licenses in Business Central. For each of our apps you see the status, the end date and the last successful check. The actions:
- Check now contacts the License Service immediately, for example right after you renew.
- Copy tenant ID shows the tenant and environment identifiers to send us with a support or licensing question.
- Check log lists the last results of the licence check.
- Allow HTTP requests takes you to the setting that lets License Manager reach the internet.
Licence statuses
- Active. Licensed. During a trial, a notification shows the days left.
- Grace. The end date has passed, or no check-in succeeded for a while. Everything still works, and administrators see a warning with the days left.
- Restricted. The grace period is over. The app's own actions stop with a message; data stays readable and standard Business Central keeps working.
- Revoked. The licence was withdrawn. The app behaves as Restricted.
Licensing and trial
- Scope. A licence belongs to one Microsoft Entra tenant and covers all its production and sandbox environments. It is not resellable.
- Trial. 30 days, starting at the first check-in of an app in your tenant, one per tenant for each app.
- New install not yet verified. If a production environment cannot check in after install, the app works for 14 days before it is restricted.
- Grace. 14 days after the end date, or after the last token expired.
- Renewal. When we extend your licence, every environment picks it up at its next daily check-in, or at once with Check now.
- License Manager itself is free.
The full terms are in our licence terms (EULA).
What the check-in sends
- the tenant key (your Microsoft Entra tenant ID) and the environment name and type (production or sandbox);
- the Business Central version, localisation and country;
- the 365vanguard apps installed, with their versions, and the License Manager version;
- the names and number of companies, and the number of users who signed in during the last 30 days (a count only);
- an installation ID and secret issued at registration, and the ID of the last licence token received.
The service also records the IP address the registration came from and the time of each check-in. License Manager sends no business documents, no ledger data and nothing about individual users.
How we use and keep this data is described in our privacy policy.
Troubleshooting
- "License Manager cannot reach the 365vanguard License Service because outbound HTTP requests are blocked." Choose Allow HTTP requests and turn on Allow HttpClient Requests, then Check now.
- "License Manager has not verified the license for … yet." The first check-in has not succeeded. Allow HTTP requests, check that your network allows HTTPS to
license-api.365vanguard.com, then choose Check now. - "License Manager could not renew the license for …" The last check-ins failed. Open Check log to see why, fix the connection and choose Check now.
- "The license for … has expired." The trial or subscription ended and the grace period is running. Contact us to renew.
- "… is not licensed." The grace period is over. Renew, then choose Check now.
- "The system date is earlier than the date of the last license received." Check the date and time settings.
- "You need the V36 Admin permission set to do this." Ask an administrator to assign License Manager Admin.
Frequently asked questions
Do we pay for License Manager?
No. License Manager is free and is installed automatically with every 365vanguard app. You pay only for the apps you subscribe to.
Does one licence cover our sandboxes?
Yes. A licence covers every production and sandbox environment of your Microsoft Entra tenant. A sandbox that cannot reach the licence service is never restricted.
What happens if your licence service is down?
Nothing you would notice. The last licence token stays valid for 7 days, followed by a 14-day grace period, and License Manager retries in the background.
Does License Manager send our business data to 365vanguard?
No. It sends technical facts about the environment: tenant and environment identifiers, versions, the 365vanguard apps installed, company names and a count of active users. No documents, ledger data or user details.
What happens when a licence expires?
The app keeps working for a 14-day grace period with a warning for administrators. After that its own actions stop, but your data stays readable and standard Business Central keeps working.
