QuickBooks and Xero are excellent at what they were built for: helping small businesses keep clean books, send invoices, reconcile the bank and file VAT. Many companies should stay on them for years. Business Central is a different kind of system, an ERP that runs finance together with purchasing, inventory, warehousing, projects and, in its Premium plan, manufacturing and service management.
So the useful question isn’t “which is better?”. It’s “when does it make sense to move up?”. This guide compares the published UK prices, shows where the limits sit, lists the signs that you have outgrown your accounting software, and explains how your data gets across. We implement Business Central, and we will still tell you when you’re better off staying where you are.
Accounting software vs ERP, in one paragraph
QuickBooks and Xero are accounting platforms with add-ons: the ledger is the centre, and stock, projects or e-commerce are often handled by connected apps. Business Central is an ERP: finance, sales, purchasing, inventory and warehousing share one database, one set of master data and one posting engine. Microsoft describes Essentials as covering finance, sales and operations, with Premium adding service management and manufacturing (Microsoft UK pricing). The difference shows up when a sales order has to reserve stock, trigger a purchase, update costs and post correctly, without anyone re-keying anything.
UK prices side by side
| Product | Plans (monthly list price) | Users |
|---|---|---|
| Xero | Ignite £18, Grow £39, Comprehensive £55, Ultimate £70 (excl. VAT) | No per-user licence fees |
| QuickBooks Online | Sole Trader Plus £10, Simple Start £16, Essentials £38, Plus £56, Advanced £123 | 1, 1, 3, 5 and 25 users |
| Business Central | Essentials £61.50, Premium £84.60, Team Members £6.20 per user (excl. VAT, paid yearly) | Priced per named user |

Some limits worth knowing, from the same pricing pages:
- Xero: multiple currencies come with Comprehensive and Ultimate only. Project time and cost tracking is in Ultimate only.
- QuickBooks Online: inventory features are in Plus and Advanced. Advanced is the top plan, with up to 25 users.
- Business Central: Essentials covers finance, sales and operations; Premium adds service management and manufacturing. Team Members licences give light users limited access to read data, approve workflows and create or update selected information.
A worked example
Take a 12-person UK distributor with five people who post and process transactions every day and seven who mostly look things up and approve.
- Xero Ultimate: £70 a month for the subscription.
- QuickBooks Online Advanced: £123 a month, covering up to 25 users.
- Business Central: 5 Essentials × £61.50 + 7 Team Members × £6.20 = £350.90 a month, plus a one-off implementation.
List prices excluding VAT, before any add-ons or apps the smaller systems may need for stock or approvals.
Business Central costs several times more in licences. That only pays off if it replaces the add-ons, spreadsheets and manual work around your accounting software. If it doesn’t, stay where you are.
Signs you’ve outgrown QuickBooks or Xero
These are the patterns we see most often in companies that make the move. None of them alone is a reason to change; three or four together usually are.
- Stock lives in a spreadsheet or a separate app, and month-end starts with reconciling it to the ledger.
- You run more than one company and consolidate in Excel.
- Purchasing needs approvals, and they happen by email.
- Costing matters. You need to know the true margin per item or order, including freight and duties.
- Your add-on stack keeps growing, and each app has its own data, logins and sync errors.
- Reporting takes days, because the answers are spread across systems.
- You’re adding warehouses, countries or channels that the current set-up can’t absorb.
- Auditors or investors ask for controls you can’t show in the current system.
When you should stay
Be honest with yourself here. Stay on QuickBooks or Xero if:
- Your business is mainly services, with little or no stock
- You have one company and one currency, or a small, stable number of each
- Your accountant does most of the heavy lifting and is happy with the current platform
- Your add-ons work, and nobody spends hours a week reconciling them
A well-run Xero or QuickBooks set-up beats a half-implemented ERP every time.
How data moves to Business Central
From QuickBooks, Microsoft includes two migration extensions in Business Central’s Migrate business data assisted setup: one for QuickBooks Desktop and one for QuickBooks Online. According to Microsoft’s documentation, they bring across:
- Customers, vendors and items
- Chart of accounts
- Beginning balance transactions in the general ledger
- On-hand quantities for inventory items
- Open customer and vendor documents, such as invoices, credit memos and payments
Know the limits before you plan. Sales and purchase orders are not migrated. Partially paid documents come across at their full amount, so apply open payments first. Accounts need account numbers. And Microsoft notes that its data exporter for QuickBooks Desktop currently only works with QuickBooks 2017 and 2018.
From Xero, there is no Microsoft migration extension. Data is exported from Xero and loaded through Business Central’s Excel templates and configuration packages, which cover master data such as customers, vendors, items and G/L accounts, plus posting set-up and open documents.
Either way, the software handles the loading. The real work is deciding what to bring, cleaning it and mapping it, which our data migration guide walks through. Most small-business moves take opening balances and open items, not years of history.
What the move looks like
For a company coming from QuickBooks or Xero, a focused Business Central project usually covers finance, sales, purchasing and inventory. On our 2026 cost guide, a lightweight finance-core implementation typically costs €8,000–15,000 in partner fees, and a standard finance and supply chain project €18,000–40,000. Our implementation timeline shows the phases. Keep your accountant involved from the start. They will review the new chart of accounts and VAT set-up, and they need access to the new system.
Frequently asked questions
Is Business Central more expensive than QuickBooks or Xero?
Yes, on licences. In the UK, Business Central Essentials is £61.50 per user per month, paid yearly, against £18–70 a month for Xero’s plans and £10–123 a month for QuickBooks Online. It pays off only when it replaces add-ons, spreadsheets and manual work that the smaller systems need around them.
When should a company move from Xero or QuickBooks to Business Central?
When several of these are true: stock sits outside the ledger, you consolidate companies in Excel, approvals run by email, you need accurate item or order costing, your add-on stack keeps growing, or reporting takes days. One sign alone rarely justifies the move.
Can I migrate my QuickBooks data to Business Central?
Yes. Business Central includes QuickBooks Desktop and QuickBooks Online migration extensions. They move customers, vendors, items, the chart of accounts, beginning balances, on-hand quantities and open invoices, credit memos and payments. Sales and purchase orders aren’t migrated, and the Desktop exporter only works with QuickBooks 2017 and 2018.
Can I migrate from Xero to Business Central?
Yes, but there’s no Microsoft migration extension for Xero. Data is exported from Xero and loaded through Business Central’s Excel templates and configuration packages: master data, opening balances and open documents.
Do all my staff need a full Business Central licence?
No. People who mainly read data, approve workflows or update selected information can use Team Members licences at £6.20 per user per month in the UK, against £61.50 for a full Essentials user.
Can my accountant still work with us after the move?
Yes. Give your accountant their own access to Business Central, and involve them in the chart of accounts and VAT set-up before go-live.
